Food Supply Chain EDI: Lot Codes, Expiration Dates, Traceability, and ASN Data (Walmart’s and General Mills’ Examples)

In most retail categories, a mismatched EDI field means a rejected document or a chargeback. In food, it can mean a recall team can’t find the product fast enough. That’s what makes food supply chain EDI different: lot codes, dates, and traceability data aren’t just compliance fields — they’re the mechanism that lets a contaminated product get pulled off shelves before anyone gets sick.

Why Food EDI Carries Extra Weight

A standard 856 Advance Ship Notice already needs to align with the physical carton or pallet it describes. In food, that alignment has to extend one level deeper: the lot code and manufacture date encoded in the ASN and printed on the label have to trace back to a specific production run, not just a specific product. If a retailer or regulator needs to know exactly which cases of a product came from a specific batch, that answer only works if the ASN data, the label, and the case actually agree.

Walmart: Traceability Built Into the ASN Requirement Itself

Walmart’s food safety and traceability program makes this connection explicit rather than implicit. Under its FSMA 204-aligned requirements, cases of food products must carry GS1-128 barcodes and pallets must carry SSCC-18 barcodes, and both are tied directly to Key Data Elements transmitted in the corresponding ASN. Walmart doesn’t treat the label and the EDI document as separate obligations — the label exists specifically to support the traceability data the ASN is supposed to carry, so that a case can be traced back to its lot and origin using either the physical barcode or the electronic record, and the two need to match.

General Mills: What Happens When the ASN Fails

General Mills’ EDI documentation for its 856 ASN process spells out, in very concrete terms, what’s actually at stake when that data doesn’t arrive electronically. General Mills focuses on pallet-level ASN detail, and its guidance states plainly that every failed ASN has a negative impact on receiving operations — because without ASN information, the receiver has to manually key in attributes for each pallet, including lot code and manufacture date. That manual keying step is exactly where errors creep in, and General Mills is direct about the consequence: manual entry of lot and date data introduces a food safety risk, not just an operational inconvenience.

That’s a useful reframe for anyone who thinks of ASN accuracy as a purely administrative concern. In food, a missing or wrong ASN doesn’t just slow down receiving — it forces a human to re-key the exact data (lot code, MFG date) that traceability systems depend on being accurate.

GS1: The Standard Underneath Both

Walmart’s and General Mills’ requirements both sit on top of the same foundation: GS1’s case code labeling guidance for the food industry. GS1’s standards define how product identification (GTIN), lot/batch numbers, and dates are encoded using standardized Application Identifiers within GS1-128 barcodes — the same structured data format referenced throughout this blog’s earlier coverage of GS1-128 and SSCC-18 labeling. For food specifically, GS1’s guidance emphasizes consistent, accurate case coding as the foundation that traceability programs across the entire industry are built on, precisely because a barcode that different trading partners interpret differently defeats the purpose of a shared traceability standard.

Where This Breaks Down

The failure pattern is consistent across all three sources: lot code and date data get generated in one system (often at the point of packaging or production), get printed on a label, and get transmitted separately through EDI — and if those three don’t pull from the same source of truth, they drift out of sync. A production system might update a lot code for a new run before the labeling system catches up, or an ASN might get built from an order file rather than the actual pallet that shipped. Any of these gaps can leave the ASN describing one lot while the physical case carries another.

The Takeaway for EDI Practitioners

Food EDI mapping needs a level of scrutiny that goes beyond confirming a transaction set validates correctly. A few practical habits make the difference:

  • Confirm lot code and date fields are sourced from the same system that generates the physical label — not a separate order or planning system that might lag behind actual production.
  • Treat ASN failures as more than a receiving delay. As General Mills’ own documentation shows, a missing ASN often means a human manually re-keying exactly the data your traceability program depends on.
  • Validate GS1 Application Identifier usage against current GS1 guidance, since consistent encoding is what allows lot and date data to be read the same way across every trading partner.

In most industries, an EDI mismatch is a compliance headache. In food, the same mismatch can be the difference between a traceability system that works when it’s needed most and one that quietly fails at the worst possible moment.
