HEB Vendor EDI Basic Guidelines

HEB Vendor EDI program requires all vendors and/or 3 rd party EDI providers to properly fill-out the EDI Information/Application Sheet provided by H-E-B. The details below enable the configuration of Electronic Data Interchange (EDI) transactions between Vendor (and/or their designee provider) and H-E-B.

New Vendor Setup

  1. The first panel of the EDI Information/Application Sheet is titled EDI APPLICATION VENDOR INFORMATION. Enter the complete contact details of the individual responsible for the technical details of EDI transactions in your organization. If using a 3rd party EDI provider, enter the contact details of the individual responsible for managing the account with your 3rd party EDI provider.
  2. To complete the EDI APPLICATION VENDOR INFORMATION PANEL, input today’s date; your organization’s assigned Accounts Payable (AP) number from H-E-B’s PeopleSoft application; and your organization’s Data Universal Numbering System (DUNS) number provided by Dun & Bradstreet. If you are a new vendor to H-E-B, please leave the Required AP Vendor Number field empty and an H-E-B Product Information Administration (PIA) will obtain the AP number on your behalf. The DUNS #, however, is required for DSD vendors.
  3. In the next panel called TRADING PARTNER INFORMATION, start by entering the Production Interchange ID Qualified under both the SENDER and RECEIVER columns. This is generated by your organization’s EDI administrator, or your 3rd party EDI provider, and the same value must be used under both the SENDER and RECEIVER columns.
  4. In the Production Interchange ID fields, enter your organization’s unique identifier. The same value must be used under both the SENDER and RECEIVER columns.
  5. In the Interchange Control Standard Identifier fields, enter your organization’s single letter identifier. This is typically a U or X and it is based on EDI industry standards. The same value must be used under both the SENDER and RECEIVER columns.
  6. In the Interchange Control Version Number fields, enter the EDI version number that your organization currently supports. This will always be a 5-digit number such as 00401 or 00501. The same value must be used under both the SENDER and RECEIVER columns.
  7. In the Production Application Code fields, enter the code for your organization’s production application. This number is typically the same as the Production Interchange ID, but can be different from organization to organization. The same value, however, must be used under both the SENDER and RECEIVER columns.
  8. In the Version ID Code fields, enter the code for the version of EDI that is supported by your organization. This number is typically the same as the Interchange Control Version Number; however, it may have a more formal identification code. The same value must be used under both the SENDER and RECEIVER columns.
  9. In the Value Added Network (VAN) Provider or AS2 field, enter AS2 if your organization is capable of direct AS2 transactions. If using a 3rd party VAN provider, enter that provider’s company name.
  10. In the Capable EDI Transaction sets field, enter the EDI transactions that your organization currently supports.
  11. The remainder of the form provides your organization and/or your 3rd party EDI provider with the same trading partner technical and contact details for H-E-B. This information can be used to configure your system(s) and identify transactions to/from H-EB.
